Manual credit is account credit you add to a customer's account yourself, from the Customers screen (WithWine's CRM). Customers can spend it on future orders. It's a good way to say sorry, or to reward a customer without discounting.
Before you start
Credit classes decide what the credit can be spent on, for example Everything or Shipping Dollars. Set them up in Settings > Loyalty & Credit.
The customer isn't emailed automatically when you add credit. Let them know yourself if you want them to use it.
How to add credit to one customer
Click Customers in the left-hand menu, then click the customer's name.
Click Add Credit.
Enter the Amount.
Check the Expiry date. It's filled in for you; change it if you want the credit to last a shorter or longer time.
Choose the Credit Class.
Add Comments (optional) to remind your team why you added it, for example "Sorry about the corked bottle of Shiraz". Comments are for staff only; the customer doesn't see them.
Click Add.
What happens next
The credit shows on the customer's Credit Activity tab with a Manual label, and the yellow account balance badge appears on their row on the Customers screen.
The next time you place an order for the customer in the back office, their credit is used automatically. See "How to place a phone or back office order for a customer".
How to end credit early
Open the customer's Credit Activity tab.
Click Expire Now next to the credit.
To see credit that has already been used or has expired, click All Credit (instead of Active Credit Only).
How to add credit to many customers
Use Bulk Actions > Add Credit on the Customers screen. Read "How to select customers, orders or club members for bulk actions" first: if no customers are ticked, every customer in the list gets the credit.
