By default anyone can use a coupon code on any order. You can limit a coupon to:
Certain customers, by email address, with Manage coupon users.
One or more customer groups, such as trade customers or mailing list subscribers, with Customer Pricing Group.
One sales channel, such as your website, with Channel.
Before you start
Save the coupon first. The Users section, where you add customers, appears at the bottom of a saved coupon.
To limit a coupon to a customer group, create the customer group first, in Settings > Customer Groups. See How to create a customer group
Limit a coupon to certain customers
Go to Settings > Coupons and open the coupon.
Scroll to Users at the bottom and click Manage coupon users.
Click Set Target Users. If the coupon already has customers, this button is called Add More Users.
Type or paste the customers' email addresses. Separate them with a comma or a semicolon.
Click Validate. WithWine lists the email addresses it will add under Existing in CRM (customers you already have) and New to CRM (email addresses that don't belong to a customer yet). It also tells you if an email address is already on the coupon or isn't a valid email address.
Check the list, then click Confirm 1 Additional User (the number matches how many you're adding).
The customers are added straight away. You don't need to click Save on the coupon for them to stick. Under Users, the coupon now says, for example, "This coupon applies to 3 target users."
Important: check every email address in the New to CRM list before you confirm. An address in that list doesn't match any customer you have, which usually means a typo or the customer uses a different email address with you. Fix it and click Validate again.
See or remove the customers on a coupon
Open the coupon and click Manage coupon users.
The table shows each customer's Name, Email Address and Times Redeemed.
To remove customers, tick them and click Remove Users (it shows how many you've ticked, for example Remove 1 User), then click Remove user to confirm.
Removed customers can't use the coupon any more. The change applies straight away.
Limit a coupon to a customer group
Go to Settings > Coupons and open the coupon.
Under Customer Pricing Group, tick the customer group or groups.
Click Save.
For more detail, see How to limit a coupon to a customer group
Use a customer group when the list of customers changes over time, such as trade customers. Use Manage coupon users for a fixed, one-off list, such as a thank-you code for 20 customers.
Limit a coupon to a sales channel
Go to Settings > Coupons and open the coupon.
In Channel, choose the channel. The options are Any, Phone/Fax/Manual Orders (Default), eCommerce Orders, Club, Venues/POS, Wholesale Orders, Sample Orders, Gifts, Donations, Tasting and Staff.
Click Save.
Choose Any to let the coupon work on every channel.
What happens next
When a coupon has target users, only those customers can use it. Anyone else sees "This coupon is not available for this user."
Customers in a ticked customer group can use the coupon. Other customers see "Coupon with this code does not exist." WithWine checks the customer group when the coupon is used, so a customer who's just been tagged can use it straight away.
If someone uses the coupon on the wrong channel, they also see "Coupon with this code does not exist." That message doesn't say why, so check the coupon's Channel and Customer Pricing Group when a customer reports it.
On your website, a coupon with target users only works when the customer is logged in. Even a customer on the list who checks out with Continue as Guest sees "A customer account is required to use this coupon." Ask them to log in with the email address on the coupon.
Limiting who can use a coupon doesn't limit how often. To stop each customer using it more than once, set a redemption limit. See How to make a coupon stop automatically
Troubleshooting
"This coupon is not available for this user.": the coupon has target users and this customer isn't one of them. Check the customer's email address in Manage coupon users. If they see "A customer account is required to use this coupon." instead, they are checking out as a guest and need to log in first.
"Coupon with this code does not exist." but the code is right: the order's channel doesn't match the coupon's Channel, or the customer isn't in the coupon's customer group, or they aren't logged in.
Staff can't use a website-only coupon on a phone order: back office orders use the Phone/Fax/Manual Orders channel. Set the coupon's Channel to Any if staff need to use it too.
"One email address is incorrectly-formatted." when you click Validate: one entry isn't a valid email address, often a missing @ or a missing comma between two addresses. Correct it and click Validate again.
"You still have 1 unconfirmed coupon user." when you close the pop-up: you clicked Validate but not Confirm. Click Cancel to go back and confirm, or Yes to leave without adding them.
