How to merge two customer accounts into one

Merge a customer's two accounts by migrating one into the other with the merge box ticked. Everything moves across, a merge can't be undone, and if both accounts have a club membership the old one is cancelled.

Sometimes one customer ends up with two accounts in WithWine, because they used two different email addresses. You can merge the two accounts so everything is on one email address.

A merge can't be undone. Check both email addresses with the customer before you start.

What moves across in a merge

Everything on the old account moves to the account you keep, including orders, notes, credit and history.

Club memberships follow one rule:

  • If the old account has a club membership and the account you keep doesn't, the club membership moves across.

  • If both accounts have a club membership, the club membership on the old account is cancelled. WithWine warns you about this in the pop-up.

Before you start

  • Decide which email address the customer wants to keep. You open the account you don't want to keep, and merge it into the email address you do want to keep.

  • If both accounts have a club membership, decide which membership the customer wants. Only the membership on the account you keep stays active.

Steps

  1. Go to Customers and open the record for the email address you don't want to keep.

  2. Click the pencil next to the customer's email address (under the customer's name). The Migrate Account to New Email pop-up opens.

  3. Type the email address you want to keep in New email.

  4. Type the same email address again in Re-enter new email.

  5. Tick Allow account migration to an existing customer (i.e. merge accounts).

  6. Read the note under the tick box: If club memberships exist on the new email, the current club memberships will be cancelled.

  7. Click Migrate.

What happens next

  • The two accounts become one account, on the email address you kept.

  • WithWine takes you back to the Customers screen. Reload the page to see the merged customer.

What the customer needs to do after a merge

  • Your website: the customer logs in with the email address you kept. The customer needs to set a new password, because the email address and password combination has changed.

  • The WithWine app: the customer must log in to the app with the email address you kept to see your winery's orders and history. If the customer stays logged in to the app with the old email address, your winery's content won't show there any more. Content from other wineries that use the old email address still shows.

Troubleshooting

  • I see "The new email address already exists as a customer." You didn't tick Allow account migration to an existing customer (i.e. merge accounts), so WithWine didn't change anything. Tick the box and click Migrate again.

  • The customer can't see their orders in the WithWine app. The customer is logged in to the app with the old email address. Ask the customer to log in to the app with the email address you kept.
