How to change the wording of an email template

Change the wording of an automated email, such as the order receipt, by clicking the pink highlighted sections in Settings > Email Templates.

You can change the wording of WithWine's automated emails, such as the order receipt or club confirmation, in Settings > Email Templates. You change one highlighted section at a time.

Before you start

  • You can only change the sections highlighted in pink. The customer's name, order details, product list, buttons, logo and footer fill in automatically.

  • Email templates are plain text. You can't add images, links or formatting.

  • Customers using the WithWine app also get the same wording as a chat message, so keep it short.

  • Email templates are for automated transactional emails only. Newsletters and marketing emails are sent from the Customers or Club Members screen.

Change the wording

  1. In the back office, go to Settings > Email Templates.

  2. In the Email Type dropdown, choose the email you want to change, for example Order Receipt. A preview of the email loads below.

  3. Click a section highlighted in pink. The Edit Template Content pop-up opens.

  4. Type your new wording.

  5. Click Save. To close the pop-up without changing anything, click Cancel.

  6. Repeat for any other highlighted sections.

If you delete all the wording in a section and click Save, that section is left blank in the email customers receive. WithWine doesn't put the default wording back.

To see the email without the pink highlights, tick Do not show Highlights.

Different wording for different order receipts

The Order Receipt email has extra versions you can word separately. Tick the box first, then click the highlighted sections to change that version:

  • Non-Wine Email Receipt: the receipt for orders that don't contain any wine products.

  • Order Channel is Club: the receipt for club orders, so you can word it differently from point of sale and website orders.

Go back to the default wording

To undo all your changes to an email's wording, choose the email in Email Type, then click Revert To Default Contents.

Troubleshooting

  • I can't click a part of the email. Only the sections highlighted in pink can be changed. Check Do not show Highlights isn't ticked.

  • Part of the email is missing. A section that was saved with no wording shows as blank. Click the section and type new wording, or click Revert To Default Contents.

  • No preview shows. Choose an email in the Email Type dropdown. Any Email Type doesn't show a preview.
