How to send an email to your club members

Send an email to club members from the Club Members screen. Club emails go to every member in your filter or selection, even members who unsubscribed from marketing emails.

You send emails to club members from the Club Members screen. Club emails are for membership communication, such as an upcoming club release or a members-only offer.

Club emails ignore mailing list subscriptions. Every club member in your filter or selection receives the email, including members who have unsubscribed from your marketing emails. Members joined your club and agreed to receive membership emails, so WithWine doesn't let marketing unsubscribes block club communication.

Before you start

  • Check the status filter. The Club Members screen opens showing Active members only. If you change the status filter to include paused or cancelled members, those members receive the email too.

  • Check the club filter if you have more than one club, for example only Ridge Club members.

  • To send a club email from a different address and name, such as "Ridge Club", add an additional From email address with the type Club Newsletter. See How to add extra From email addresses for newsletters.

How to send an email to club members

  1. Go to Club Members.

  2. Filter the list to the members you want to email, or tick particular members.

  3. Click Email Filtered Club Members, or Email [number] Club Member(s) if you ticked members. Choose Email Builder or HTML Editor from the arrow next to the button.

  4. Choose a template.

  5. On Email Details, check To shows the number of club members. Choose the From address, then enter the Subject Line and Preview Text. Click Continue.

  6. Design the email, then send a test email to yourself.

  7. Click Send Now, or choose Scheduled Send.

Important: Send Now sends the email straight away, with no confirmation step. Check the number of club members in To before you send.

What happens next

  • The email is queued and usually arrives within a few minutes.

  • The email shows on the Emails screen as a Club Newsletter, with opens, clicks and conversions.

Troubleshooting

A cancelled member received a club email. The status filter included cancelled members when the email was sent. Check the status filter is Active before sending.

A member who unsubscribed still received a club email. Club emails ignore mailing list subscriptions. Unsubscribing only stops marketing emails sent from the Customers screen.
