WithWine has two CSV imports. Customer details, club memberships and account credit all come in through the customer import on the Customers screen. Orders come in through the order import on the Orders screen.
Check and clean your data before every import. Most import problems come from the data itself: typos, values in the wrong columns, dates in the wrong format and duplicate customers. Some mistakes import without a warning and are hard to fix afterwards. Start with a small test file, check the results, then import the rest. See What should I check in my data before importing it into WithWine?
Use these imports when you move to WithWine from another system, or when you sell somewhere outside WithWine and want those customers and their purchase history in one place.
What you can import, and where
Customers: names, email addresses, postal addresses, phone numbers, dates of birth, mailing list status, tags, notes and account managers. Go to Customers > + Import Customers CSV. See What customer details can I import from a CSV file?
Club members: club, status, join date, next order date, preference, how often and how many bottles, schedule, product selections, and pickup or delivery. Also go to Customers > + Import Customers CSV. The Club Members screen doesn't have an import button. See How to import club members from a CSV file
Account credit: add credit to customers, or expire credit they already have. Also go to Customers > + Import Customers CSV. See How to import account credit from a CSV file
Orders: historical orders, or orders from another system such as an old point of sale, with the products in each order. Go to Orders > + Import Orders CSV. See How to import orders from a CSV file
The customer import can bring in customer details, club memberships and credit in the same file, or you can import them in separate files.
Import customers before their orders
The order import doesn't create customers. It links each order to a customer by email address, so import your customers first, then their orders.
What importing doesn't do
Importing doesn't email your customers. That includes customers added to your mailing list, new club members and customers given credit.
Imported orders don't reduce your stock, don't earn loyalty credit and don't affect your payouts.
Card numbers can't be imported. You can import the last 4 digits of a club member's card as a check, then enter each card by hand. See How to import club members from a CSV file
Before you start
These tips apply to both imports:
Save your spreadsheet as a CSV file.
Click Download template CSV file in the import pop-up to get a file with every column name already in it. Columns whose heading matches a field name are matched automatically.
Write dates as yyyy-MM-dd, for example 2026-03-13. Order dates can include a time: yyyy-MM-dd HH:mm.
Set your date and phone number columns to text format, so your spreadsheet program doesn't change them.
Use two-letter country codes, such as AU, NZ or US.
If some rows don't import
When the customer import finishes, the Import Complete pop-up shows how many customers were imported. Rows with a problem are skipped and listed under imports failed, with the reason for each row. The other rows still import. Click Download Errors to save the failed rows, fix them, then import just those rows again.
