You can add many customers at once by importing a CSV file on the Customers screen. Each row in the CSV file becomes one customer, matched by email address.
Before you start
Save your customer list as a CSV file, with one customer per row and a header row with column names.
Email is the only required column. Every customer needs a valid email address, because WithWine uses the email address to identify each customer.
To make matching quicker, name your columns the same as WithWine's fields, for example Address Line 1, Postcode and Date of Birth. To get a file with the right column names, click Download template CSV file on the import screen.
Use two-letter country codes, such as AU, NZ or US.
Use the yyyy-MM-dd format for dates, such as 1975-03-13. Spreadsheet programs like Excel often change date and phone number formats, so set those columns to text format before you save.
To import club members as well, see the club member import article.
Example CSV file
This example CSV file, opened in a spreadsheet program, has one customer per row and a header row with WithWine's field names:
Tags: to give a customer several tags, put them all in one cell, separated by commas, for example Cellar door visitor,Long lunch 2026. Don't use a separate column for each tag. If you edit the CSV file in a text editor instead of a spreadsheet program, put the tags in double quotes, for example "Cellar door visitor,Long lunch 2026".
Blank cells: leave a cell empty if you don't have that detail for a customer, for example Address Line 2.
Suburb: in Australia, the suburb goes in WithWine's City field. A column named Suburb is matched to City automatically.
Mailing List Subscriber: use Yes or No, True or False, or 1 or 0.
Country: use a two-letter code, such as AU.
Date of Birth: use yyyy-MM-dd, such as 1975-03-13.
Import your customers
In the back office, go to Customers.
Click + Import Customers CSV. The Import CSV Customer List pop-up opens.
Next to CSV file, click Choose File and choose your CSV file.
Leave File has a header row ticked if the first row of your file contains column names.
Check how your columns are matched. WithWine matches columns automatically when the column name is the same as the field name. For each field, use the dropdown to choose the matching column from your file, or leave it as None to skip that field.
To give every customer the same value for a field, choose Import all as... and type the value. See How to give every imported customer the same value with Import all as.
Scroll down to Preview and check the first rows look right, for example that dates and postcodes or ZIP codes are in the right columns.
Click Import.
For the example CSV file above, the column matching looks like this. WithWine matched every column automatically because the column names match WithWine's field names, and matched Suburb to City:
What happens next
WithWine shows Import Complete with the number of customers imported, for example "50 customers imported successfully". Click Close.
Reload the Customers screen to see the imported customers. The customer count and the Mailing List tile update after you reload.
Each customer gets a Customer Number automatically, unless you imported your own.
Each customer's record shows the import in its activity, for example "Subscribed to Mailing List" and "New CRM Address", processed by the person who ran the import.
If a customer is already in WithWine
WithWine keeps one customer record per email address. When you import a customer who's already in WithWine, the new details are merged into their existing record rather than replacing it. For example, new tags are added to their existing tags, and a new address is added as another contact card. Details that can only have one value, such as Is Mailing List Subscriber, are overwritten. See What happens when I import customers who are already in WithWine?.
Troubleshooting
I can't see my imported customers. Reload the Customers screen.
A field is empty after importing. Check the field's dropdown was set to the right column. Columns are only matched automatically when the names match exactly, for example "Street Address Line 1" isn't matched to Address Line 1.
Dates or phone numbers look wrong. Your spreadsheet program may have changed the format. Set the column to text format, use yyyy-MM-dd for dates, and import again.
A customer's mailing list setting is wrong after importing. Check whether the customer's email address appears more than once in your CSV file. If it does, a later row can overwrite the setting from an earlier row. Remove duplicate rows and import again. See What happens when I import customers who are already in WithWine?.
The import screen opens my previous file. Reload the Customers screen before starting a new import.
