00:00 yeah so yeah so we're gonna go into pretty much just um bottle setup um and like the bottle settings screen because there's actually a lot to it and a few little bits and pieces pieces in there that a lot of people aren't um you know don't don't sort of realise that's there so we thought we'd spend some 00:23 time going through that um so um let's do it where so we go into settings go into products and we'll go into bottle um now actually funnily enough while we're here um we go into add bottle up here and it comes the first option oh yeah so i'm going to share my screen yep that'll help um mum mum mum mum 00:52 mum so we're learning how to optimize your product setup today and this is just um we've got some examples of wineries that are um best practice because of power in the system that we're about to demonstrate and to get the most information in there personally as a wine geek myself i love all of that 01:12 information and um it's actually very easy and simple to set up yeah sorry i had to jump in there that's all right um so when we go um when we go add a new bottle um i'll just talk about this briefly as well um so we've actually got it where we've got some some clients who have brand a brand b brand 01:35 c and um they share products within the brands and what they don't want to do is set up a product in brand a and then have to type in everything again in brand b and then type in everything again in brand c so we actually have to have this uhm database feature here so you can actually say alright well 01:57 I've already set up the product in uhm in brand a and I want to I want to duplicate it again for brand b and what it will do is it will just get the uhm it'll get the product and it will just duplicate it uhm uhm so that then brand b you've just got a mirror image of what you'd already set up in uhm 02:22 in brand a you just need to add a new uhm at a new uhm price uhm so I thought I'd just mention that because uhm uhm but let's go imagine we're going in completely cold so creating a product from absolute scratch add new wine and we'll just basically go through this form today uhm so brand pretty self-explanatory 02:48 uhm if you are Greenway Wines then obviously it defaults to Greenway Wines but you can override that if you want and put in uhm you know Scott's, Scott's Vineyard uhm so uhm that's pretty self-explanatory name the bottle of wine uhm you might say Scott's Shiraz now we do actually say in here uhm not 03:13 to include vintages in the bottle name people do do it but we try to encourage them not to uhm the reason for that is because there's the you know throughout the platform there's a lot of merging of fields so uhm I think actually stock is a good example where the uhm or even in receipts sometimes where 03:36 it'll go the system's automatically going oh I've got this vintage in this product name whoops I got this vintage in this product name so I got the I got the 2014 Scott Shiraz now if someone includes the 2014 in the product name it'll say the 2014 2014 Scott Shiraz or the 2014 Scott Shiraz 2014 and it 03:56 just looks a bit funny uhm barcode if you've got a bar code you can punch it in here but a lot of people don't so you just say no barcode in the background this is actually creating an identifier um that we um link to other vintages um skew code uh anita that's more for for your your more nerdy stuff 04:20 that you're doing with vintrace vint site external systems um and obviously that's just a pretext field yep sorry to butt in the barcode uh that's a mandatory field right so you have to click no barcode if you don't know the barcode yes yeah correct um sure the skew code in your system the only benefit 04:42 to it is pretty much pushing to integrated pretty much vinsite yeah vinsite, vintrace, zero, miob, quickbooks um it's kind of like just that reference that um that cross platform reference um because I know that some other systems if you want to change um if you want to change, do a vintage roll or if 05:09 you want to do a swap out product for a recurring order um I know that a lot of other systems will go, you know, which SKU do you want to, do you want to swap out so you've got to know the SKUs whereas we kind of do things in plain English um so we use the product name everywhere instead of the SKU everywhere 05:28 um but yeah that that's mostly mostly for external systems um short description that is for or oh it's in bits and pieces like the app email receipts and whatnot um so that's more just like you know a a wonderful hunter red or you know just a a little a tiny little elevator pitch uh for the product and 05:51 then obviously a long description you can go into more detail here um photo pretty self explanatory um we do like uhm images with where the background's been taken out and actually uhm there's an app if uh there's an app for that uhm I'll show you while, while, while we're talking about it uhm there's 06:19 a app I found that is just really good for this uhm it's called the Photoroom app uhm and basically it lets you uhm hang on I'll turn the volume up we don't want to hear it but basically it lets you uhm take an image of a product and then it just takes out the background so is it as good as a pro photo 06:51 ? no is it as you know and it's certainly not as good as a 3D render but basically if you needed a product photo quickly and you don't have time to get photography and what not done it's awesome uhm it's it's certainly the better than nothing uhm uh solution for product imagery so that's a little nice 07:09 to know uhm. And then app description so you can have a different description in the app. The product pricing we've gone through we've gone through that a few times already so we probably don't need to go through that uhm other than to say we'll just. 07:28 Quick summary is that you can say uhm you can exclude a product from your club pricing so you know if you're just using the basic club blanket discount you know by being a club member you get a blanket discount uhm on all my products. 07:44 You can say ah you can untick this and say except for this one uhm e-commerce availability you're able to say uhm it's available on my website or which is everyone or you say it's only available for club members or club members of these selected clubs uhm or it's not available uhm and you can each yeah 08:08 . Can you explain, can you explain how that would then uhm show through both the app or website or both? So basically, yeah so basically it just won't uhm depending on the settings it won't, it just won't let people purchase it unless they're a member of a club or of selected clubs. 08:33 Same thing here, so this is where you've got, you know if you've got a scarce product you can say well I want to limit it to a maximum number of bottles per order. 08:44 So you can say Joe Blow can only buy 2 bottles per order, but if you're, if you're a member of uhm this club you can get 6, if you're a member of that club you can get 12, and if you're a member of this club you can get as many as you want uhm per order, but then you can also lock it down per 6 month 09:04 period. or 12 month period, and it's tracking who has bought this product, how many times have they bought it, and it's doing this at the point of sale as well, so if you're trying to buy more than 2, uhm if you're trying to buy more than 2 in an order, uhm it won't let you proceed on the point of sale 09:19 , because it's, it's tracking. this, uhm. And this, this level of functionality is available on the base tier, all through the other tiers isn't it? 09:28 No these, so these two are, these two are on the advanced tier. This is only the advanced, yeah. Those two, yeah, yeah. 09:37 The product pricing, uh, there's another video about that already, so let's not go into that. We did that, uhm, just the other day. 09:45 Uhm, now the shipping rate, uh, this is where you've got your, you've got your, Default shipping here in the shipping section, so basically you can say, you know, get your average bottle being 1.2, and then, you know, it'll just work on the basis that every bottle's 1.2, but if you've got a bottle of 10:06 champagne or sparkling, and it's 1.2, you can put that in here, which will override the default, and I know that Australia Post is cracking down on this stuff a little bit more now, so basically if you need to get more accurate with your shipping weights, See next time! 10:24 So is where you can uhh put in some more detail umm on that. uhh, wide range is uhh so the ranges uhh, you set up over here, so if you create three right ranges over here, you'll get three ranges to select from over here. 10:44 Umm, country is uhh, where your, where your wine's coming from, from what state, New South Wales, what region. If we're missing a region here, just let us know and we can add it. 10:56 In a couple of seconds. Umm, but we actually go into quite a fair bit of detail here, so if I, if I say, let's say for example I'm doing something in France, I can select the region in France and then I can select the southern. 11:12 Uh, uh, jesus scott, this is where you probably know more than me, you can select, you can select this part and then you can even go down to sub region if, if they exist. 11:25 So I think that was more uuh. The website has a lot of sub regions actually. So this is the functionality for people who perhaps wish to sell an imported wine and it's still technically buying it from the wine ring for you. 11:44 Oh here you go. Yeah. So US, California, Napa Valley, Howe Mountain. So you can drill, drill right down. Umm vintage, pretty straight uh pretty straight forward. 12:02 One thing too just to highlight here is that if you've got a 2022 product and you've just released a 2023 product, don't go into the 2022 and change it to a 23. 12:13 Umm you want to actually create a new uh a new vehicle. The vintage that product using the vintage, the new vintage function. 12:20 Umm. That's a very important one isn't it? Rich. Yeah. Yeah because there's a fair bit that hangs off that. Uh wine type is you know red white other or spirits It's beautiful. 12:32 So if you've got a red wine then obviously it will say well you know what type of red wine is it? 12:40 And then if you really want you can put in some more notes around you know just free text notes around you know. 12:48 X% of this, X% of that, X% of that. Um and then you can use these labels if you want as well. 12:54 Um this is probably more for we will be using these and adding more um as search filters for the app as well. 13:04 Umm okay, awards and accolades. Um so if we want to add an award, so you know let's say you've got a holiday award. 13:17 Um you can- obviously add a logo umm you know add a picture of the gold badge, title description, blah blah blah, now the rating display. 13:28 Um this is where you can say you know I've got uh four stars out of five for example. Or you can say um I've got um 98 points out of 100 oops scroll up. 13:45 Um or you can say oh or you can do it as a as a percentage whatever it is so there's a few different options. 13:52 There umm and then if you've got multiple awards you can pick and choose which one you want to display it above the others. 14:02 Um yeah sorry so you question the logo badge. That's just a jpeg or a png file. Yep. Yep. Um and now actually something I would say here too is you might see this throughout the UI a little bit. 14:20 Um we're actually talking about Changing it but when there's a delete and a tick box here it's essentially saying uh you know delete upon saving or or mark for deletion. 14:37 So just clicking that doesn't actually delete it. But- But does umm when you hit save it will delete it. So umm yeah so it's not like click delete and it just disappears straight away. 14:49 There's actually a bit of a sort of call of a safety mechanism in there umm so you can you can delete it later. 14:55 And obviously you can add as many of So if you've got lots of awards you can umm put them in and there's the there's your sorting so you can you know have this at the top move things up and down in in in order. 15:09 Umm now in here umm. The details this is actually we we collapse this down but umm for a reason because otherwise the screen gets really long but we'll open it up and this is where you can add any and all detail to umm. 15:28 To your product and obviously it's really good to fill this in and umm this is where if you obviously if you've got a product that you just do the 2014, the 2015, the 2016, the 2017 this is why we've got that new vintage function so basically if you do all your tasting notes further. 15:44 The 2014, you do the new vintage function and it just rolls all that. It just sort of creates a clone of the 2014. 15:53 You go in and then say this is 2015. You change your vintage notes to 2015 obviously but it just means you don't have to re-type everything. 16:02 So volume, self-explanatory, self-explanatory, self-explanatory, closure, screw cap core crown seal. If there's a closure in here that you've got some new closure that we don't have in here just let us know. 16:16 And we can add it very easily. Blah blah blah blah blah. Now actually while I was here I was going to show umm we've got vintage notes. 16:29 So now this is what Scott was talking about. So we'll show again. A couple of examples of things you can do here because you'll see we've got a link button, a photo button, and a PDF button. 16:40 So what I'm going to do is just in the background open up a couple of examples of this. And actually uhh. 16:48 Which if you can choose between that as to what, what, hit those fields of data which you want to display. 16:55 Yeah. You can just start with one. Yeah so if you don't, if you don't put anything in here it won't display. 17:02 Umm. It's only- You know it's only displaying the stuff that you want to display. Umm. Now let me find an example. 17:13 When you're calling, when you're saying display we have various um portals like- the app and the website that yep it's going to display on. 17:23 Yes. So, I'm just opening up a couple in the background. I'm just opening up a couple of websites so I can show you. 17:30 Umm. So for example. Here we go. Here we go. Alright. So for example. For example, we, We can go into, so several estate for example. 17:56 Umm, now they've, they haven't put the description in all these fields here. They've just uploaded a, uploaded a PDF. So you can just upload a PDF and it'll, You know you click on that and that's where you can read your, read your PDF tasting notes. 18:13 Umm, if you want to, now a really good example of this is umm, is Henski, whoops, is Henski, whoops. So they They can, you'll see here, that umm, they have got videos and then they've got all their product tasting notes but then they've also got a PDF for every single vintage going back. 18:40 However long, umm so this is where you can add as much as you want and then over here they've even got links to uhh other pages so you know if they've got umm Uhh, recipes and whatnot. 18:59 You can go, okay well here's a link to the PDF. Tasting note, here's a link to a recipe umm and then finally you can also if you want upload images into, each of these little sections as well. 19:15 So that's a little nice to know, but I'll show you how to do it. So if we want to, Yeah, yeah. 19:21 Now a little thing to to go to is that, If we go into, umm, I'll just get like, just get a URL for example. 19:34 Umm. It's a good morning, you're all. So if I wanted to get a URL for a recipe or whatever it is. 19:44 Umm, you'll see here so I go, I click on that, I add the link and I can then add text links so I can say, you know umm, best, best meal or you know, whatever. 19:59 And you'll see there. That it will display as best meal and then with the link behind it so if you're doing that sort of umm, so say with uhm, several wherever they went umm, down here so you'll see here it just displays as 2021 reserve-shardonnay.pdf but they can actually get rid of the .pdf by just 20:23 going into that thing here and changing that from you know .pdf to just remove that text umm. Mm. Yeah, does that make sense? 20:35 Yeah, just makes it look prettier and easier. Yep, umm same thing .pdf you want to upload a .pdf you can, oh here you go. 20:45 Umm. Here's a .pdf, chardonnay and prawnrecipes.pdf so I can actually get rid of that and actually remove the word, remove the word recipe umm and so you know pass down or something like that. 21:02 And you can put these in Any and all sections. Umm so that's just a little thing that a few people don't know about that umm that you can do. 21:12 And if you look rich, throw out displays in the app or you're able to screen share your app. Yeah! We've got a . 21:20 . . and hint . . The hunchy example you used before is always a good one that I've found that I refer people to in that they've done a very good job of embedding all of those previous vintage tasting notes, the food matching links, the actual Tasting notes with some of the chemistry, the wine chemistry 21:40 , so they've got the pH, they've got the acidity in there and you know there's people out there who really really like that sort of information. 21:48 Uh even the harvest dates, I mean it's it's um it's all adding to it. To the experience of your customer. 21:55 So for example umm now this is just the app running on my computer rather than running on my phone. Umm but if we go into the apple tree bench umm this is where you can see you've got your links to your external umm external recipes umm external sorry previous vintages umm and in the app we don't link 22:19 to external URLs in the app at least not yet umm probably more. More so for security than anything but we are we have been talking about adding external links it's more like a we've got to display a pop up that says you're about to leave with wine to go to an external URL do you do do do you give permission 22:39 for that but when I click on the umm when I click on the barbecued hanger steak for example it does go to the recipe umm I'm sorry I got it mixed up it links it links up to external links it doesn't display images in the app umm Mm. 22:57 So, sorry I got that mixed up umm and also down here if there's a custom feel if there's a feel that we don't have that you want to use you can add it as a custom field so for example you might have a custom field called uhh the store. 23:12 You can uhh behind this wine and then you can go and write your story behind that wine and have that display on your website umm I think I skipped something did I skip something? 23:27 Oh yeah I did! Scrolling back up umm just under the under the first section we've got listing photos uhh so you can have your main photo which is displayed in your sort of product grid or in in your shopfront but then you can also add additional listing photos that will display in the product page itself 23:52 umm speak to your WordPress developer about this in particular umm but this is where if you wanted to have umm if you want to wanted to display picture of a bottle picture of a bottle in a hamper picture of a bottle in a wooden box you can do all of you can do all of this so let's say if you had a picture 24:13 of a bottle in a wooden box you might want to add that image because down uhh further down here you can then add the wooden box as an option, as a product option umm so I can put a back label picture in this field as by the ridge Yep. 24:33 Yep. Umm. Picture of it in a gift pack, you know, this is what it looks like. So this is what it looks like as a bottle, this is what it looks like in a gift pack. 24:42 So this is what it looks it looks like in the wooden box. You can add all of that to your heart's content. 24:47 This could be very useful in future for when emandatories are enforced for labelling. Umm literally you're instead of loading up the information into a program like with wine, it's simply just take a photo of the actual label. 25:04 And the manatees are then visible. Yeah, well especially with that photo room app umm to just makes it really easy to do. 25:13 Umm product lists so an excluded product so umm we actually- had a question about this during the week so basically umm there's a system list- a system product list called excluded products so this is where you can say umm I want people earning credit umm I want when they- spend more than x dollars per 25:38 6 month period I want them to earn 10% back in the form of credit but not on this product because this product might be a $800 product and you don't want them getting 10% of it back in the form of credit so you can go uh you can put this as an excluded product um tax lists um so and again we've got a 26:03 lot of dummy lists here but um if you've got a tax list which is being Used by your bin tracers, your zeros and what not um you can say this is my you know let's just imagine you've got one tax list called GST-free so if you're selling apples and bottles of water you can say well these ones are GST-free 26:22 so it knows not to not to a charge the GST on that uh we are actually going to add in we need to add in all the other product lists here so if there's a if there's you know some people have a lot of lists so they but they might be saying one list is I want this to appear Here on my home page I want this 26:42 to appear on the shop page umm on my website umm and I want this to appear in a polls category umm they'll just be able to go click click click click so you're doing all of this from within the product setup screen. 26:57 And something else that we know we need to add is also umm stock adding you know being able to say you know as you're creating the product and say I've got this I've got a thousand bottles in this stock location a thousand bottles in that location umm so we will do. 27:12 Do that at some point. And reach those umm umm you've got some examples of the lists that you put in umm you said you called them up list but that's just because of the staging set up so wineries can set these up in the uhh in the set point. 27:28 umm feel their product list and then they then they then show in the uhh bottles setup. Yeah, yeah correct. We yeah so the first product list we ever built was it was a tax list uhh which is why it's in the product setup umm but then we started adding all these different types of product lists and and 27:51 we didn't get round to adding them to the product setup so that's why we need to add it because now product list is actually quite a fundamental piece of of the platform or- and used way more broadly than we anticipated so umm yeah so that's why we- we need to add that umm and product variations and 28:11 options uhh just I won't go into the detail of all this because again there's another video on that. And it's already but umm a product variation is where you can say alright well I've got a you know this is a bottle umm but I've got variations of this bottle so I've got umm I've got a 1.5 litre magnum 28:32 . I've got a glass, I've got a piccolo umm so you've got variations of that product. Same thing might be like umm you know if you're selling a t-shirt I've got an orange, I've got a red, I've got a blue, I've got a smaller medium or large. 28:48 Umm, so you can- This is just where you're linking it to, so you've already created those other products and you're selling them in. 28:57 Yes, to the camera. Yeah, yep. Um, so now uhh what you're gonna do here though too is something to call out is if I am- let's see if I've got something to show you. 29:13 If I am in, so this, so this particular one you know this might be a bottle but I can link up the glass as well too so you know the glass is the child of the of the bottle you can even have it where when a glass of wine is sold deduct it deduct that unit from the parents stop. 29:36 Umm. So you get you can do all of that oh there you go you know use parent stock yes know how much of the parent stock is used when a glass is sold so you can say you know point two or point you know point one of a bottle is used. 29:51 Umm. Mm. When whenever we sell a glass but where this gets really cool is that if you sell a glass of wine in the sell it all or in the restaurant umm in the email receipt it links it up. 30:08 So it might say hey umm a neater you know I'll send you so this is where you can say hey neater gives your email I'll send you an email of of that glass of wine you had and it will actually insert the link for you. 30:24 You did buy the bottle so you bought the glass offline but then it sends you the receipt with a link to buy the bottle which then umm makes it easier for people to buy online and also that goes into the history list of the app as well so if you if you buy a glass in the sell-it-all your history in the 30:44 app will show this is the wine you had even though you only had a glass of it this is the wine you had in the sell-it-all umm and then product is this parent option would end up being like The first vintage, it's great you know it's in 17 and 18, 19, etc and then the parent item would just become one 31:05 of those vintage? No, you know the vintage we do a little bit differently umm I'll show you, I'll finish up this and then I'll show you how we create new vintage umm because the vintage we do tie together in the background umm so but everyone does it a little bit differently so we haven't actually done 31:26 a UI for for marrying up the vintage yet. Umm but I'll show you how to do that separately but at the moment this is sort of, the parent child relationship is around sort of parent skew and then all the child, then the sort of variations of that skew umm what you're doing like with vintage is you. 31:44 We're really talking about a group of skew umm so yeah umm and then product options this is where you can add in your umm options so you might say I've got a new product being a wooden box so I want to buy this by roll a line but I want to add the wooden box which might cost $20 extra umm or umm if I'm 32:08 selling a umm if I'm selling a steak in my restaurant I might want to add an option which Cheers! is uhh uhh uhh rare and then another one is uh medium oops and then well done. 32:33 and then you can have a new product that might be called umm make surf and turf. so you add the make surf and turf option. 32:43 actually I might even have an example of that umm make. I actually know I won't have it in. oh there it is. 32:49 yeah it makes surf and turf so I can go cool. make it a surf and turf which adds a dollar to the to the stake. 32:56 and then finally down here uhh the default product preparation cues. uhh this is where again for restaurant pause where, where if this product is sold in sell-it-all number one I want a docket to be printed out in the bar. 33:13 if this product is sold in sell-it-all number two I want a docket printed out over in the grill. and, and whatnot so you can have different things printing in different printers in different locations and you can set it all up here from the product uh from the product setup. 33:29 and then finally down here if you wanted to add some just internal notes for yourself or for the team or for a new employee. 33:36 umm you can just add notes down here as well. umm that doesn't appear anywhere except within the product setup. umm that's there if you want it. 33:47 umm now so that's as a so there's there's a lot to it and that's why we thought we'd make a video just on this. 33:55 umm before I get out of that and go into the new vintage setup is there any any questions on that? 34:04 just the fields for where you've got long description and we- blind app description umm I think some of them are displaying currently some of them are not so they may be uhh some development in the part there so umm what I do is I always umm if I'm adding something in my setting up a product I just go 34:24 and ref- fresh the app it usually helps to shut the app the with wind app down and then re-open the with wind app so a lot it umm updates with the new addition and then you get a good look for how how it's displaying and so you get the best possible user experience. 34:42 Actually yeah so and this is where like you might have one description for your website and a different description for the app and certainly umm this one umm we umm we can go into and basically we go umm. 34:56 Look if it's on your website it's you know you put in whatever you want umm but if it's in the app we actually can go in and you know fix spelling mistakes and grammatical errors and what not so that's kind of you know that's that's that's what that one's there for umm. 35:12 Alright if now just covering that vintage question umm over here so we've got the dollar one 33 umm actually here let's do this one we've got the dollar one xx sure as. 35:28 2023 so rather than as I said you don't go into the product and change the vintage or you umm you don't want to delete the product either you umm cause you want to keep that data and also you want to keep you want the customers to keep their notes. 35:44 Some what not umm the delete button is more there if you've accidentally found that you've added to 2 2023s and you only want to sell one of them obviously umm but we've got this wired and we've got the Shiraz 2023 we want to create a new vintage of it and it's going to be the 2024 and so then we go 36:04 continue and basically as I said what this is doing is creating a clone of that product so it copies everything copies the barcode and of course you can override all of this umm you copies all the pricing and then you'll see here exchange it to 2024 but in my vintage notes you know I might want to change 36:25 it from PDF A to PDF B umm or I might want to if you've got a little bit of writing on there at the about how great the 2023 vintage is you just want to update that to how great the 2024 vintage is. 36:38 Yeah. And which does the there's the bottle shot carry over as well. Uh yeah. Yeah so we could we could then encourage. 36:48 I know I know wineries and marketing teams have bottle shots that are non vintage so that they're able to just roll a yeah and if you do have that put your bottle shot up there as the non vintage version. 37:01 If that makes sense then that way it's just it's. Yeah. Bit of time-saving. Yep. Yep. Yep. Yep. Yeah. I think the I think most people are doing non vintage images now aren't they? 37:17 We still we still have some people who don't have that. So do you have this stage? Yeah. Okay. Um. Cool. 37:25 So, look at that. 40 minutes on one page. But yeah, as I said, we've never actually- You know, a lot of it is self-explanatory, but to be fair, you know, we did get a couple of questions about you know, what are these buttons here? 37:44 So we did think it was worth doing a little video on. Um. And certainly every time we do these videos, we do get people going oh I didn't know that. 37:52 I didn't know this so umm yeah so hope it helps. Anything else?
