00:00 Okay good morning everyone hope you're well welcome to ask us anything if you if we haven't spoken to you since the new year we hope you had a good new year good christmas and new year and all that and if you havent noticed we've been busy in the background releasing some stuff during the break so it 00:23 probably makes sense to go through the main one of those which you can see up on my screen here which is the dashboard now a couple of things to highlight on this very simple obviously to use but a couple of nice little things that weve put in here is that this is your today view up the top and this 00:49 is where youll see your your live orders coming in throughout the day but also you can click on these side tiles here as well to see you know the the little graph that corresponds with your your mailing list and your wine club growth as well so thats just a little hidden thing now the bulk of what youll 01:13 be playing around with on this is further down so weve started out here with what was it 1,2,3,4,5,6 so weve started out with 18 graphs to begin with first row is all orders, total orders across everything. 01:36 Then weve broken it down by point of sale wine clubs website then weve got some mailing list ah some mailing list ah metrics and your club membership metrics and just wanna call that up here this is the comparison tool that you can use to see all your data for any date period so you can choose you can 02:06 choose some predefined searches if you want so you know you can change that to today or change it to the last seven days or this month or whatever it is right and then you can see over here that you can you can change it from a you can break the data down between daily and weekly if you're in a if you're 02:30 on like a the last seven days you can see that it can actually do it hourly as well so you can actually see you know what what what hour of the day uhm was busy for you uhm within the selected date range uhm but of course you can also if you dont want to use one of these predefined date ranges you can 02:55 also click in here and select your own date range so lets say you wanted to do the calendar year last year you just select the 1st of Jan there and the 31st of December there and then you'll see all these uhm graphs will update now currently Ive got this set to compare with the previous period so this 03:16 will be uhm this will just be Jan 23 minus 1 year to Jan 22 so again if I transfer this to the last 7 days that previous period is going to be the 7 days before that if I change it to this month its going to be the month before that but if you wanted to do year on year comparison you change that to the 03:41 previous year so youre comparing uhm Jan 24 with Jan 23 uhm and yeah so theres quite a bit in there uhm weve already been getting a lot of feedback on this uhm people are pretty happy with it which is great uhm again as I said in the update we have wanted to do this for a long time uhm so it feels really 04:06 good to actually get something out uhm and we will very likely be able to start uhm we will very likely be able to start uhm adding other graphs if you have got ideas for other graphs do let us know uhm we will see what we can do uhm no promises but uhm yeah we have got some plans to put some more in 04:27 here to make this even more useful than it already is. So, that's pretty much pretty cool uhm so next up I wanted to go through uhm we had a few questions uhm about product lists and how to organize them how to sort them uhm in a certain uhm in a certain order so let's say for example we've got your 04:57 point of sale uhm and then you've got your custom lists on the side here right so these are the pos lists you can actually change the order that these lists appear uhm so what we'll do to do so we'll go into settings we'll go into products and then product lists and then uhm as you know you can have 05:24 different types of product lists so one list can be used for one thing like a pos category like this example here or it can be used for multiple things uhm like it can be used for a pos category and an e-commerce filter and an e-commerce section and a tasting list and so on uhm so let's say for example 05:45 we want to make the John Farnham list appear at the top now what we can do is we go into here and give that a second and umm basically theres a this here the sort index umm and you can set this number to determine where it appears in the list of product lists so so for example youve got 5 lists you can 06:20 order them 1 2 3 4 5 umm if youve got umm if youve got more than that umm it can be a little bit umm you know if youve got multiple product lists like over here ive got what round about 10 or 12 umm you know i dont know so weve been playing around with these settings a lot so umm what im not going to 06:45 do is go through each of them and go you know 1, 2, 3, 4, 5, 6, 7, 8, 9, 10, 11, 12 although you can umm but lets say i just want to get this to the top of top i dont have time to adjust all the others now umm you can see here that this is a sort index of 1 so ive been playing around with it before umm 07:08 but you can see its not at the top because theres something that is obviously umm got a lower sort index than 1 so if youre not sure something a little tricky you can do is actually you can put in negative numbers here so you can say i want this to be minus 10 hypothetically hit save and then when we 07:29 go back into the umm into the list here youll see that minus 10 is obviously the lowest sort index and so that list has now jumped to the number 1 position umm if i want stuff favorites so lets do that i want that to be next i can then change that to minus 9 hit save go back in and you can see the staff 08:02 favorites has now jumped to the second position so i'm not saying you should do minus 10 and minus 9 and minus 8 umm but if you've got a long list of umm a long list of product lists that can be a quick little hack umm to get them ordered the way that you want if you dont wanna go through each of these 08:20 one by one by one and update them umm so yeah thats umm that is that now while were on the topic of product lists umm uhh we will just bring up my uhh my app here because umm i had a few people say that they didnt realise umm that the product lists are also appearing in the app as well umm so in here 08:47 if we see that umm uhh if i just pick a winery umm im not sure yeah so you can see here that luon dont have any uhh product lists set up or taste lists or flights as we are now calling them so the app does umm create two on its own right it wants to put something there so it will create one a white one 09:15 and a red you know a white wine list and a red wine list but what you can actually do is add your own custom flights umm and for example this is what Giant Steps have done so you've got the Yarra Valley Tasting, the Giant Steps wine tasting so and when I go into the Yarra Valley Tasting. 09:34 There are the four wines that are in that flight and you can even see on the filtered list its actually automatically filtering down to that list so its just moved me into the shop page and applied that filter to the list here so umm again if you wanted to do this its just a case of going into any any 09:55 pos category sorry going into any product list umm and you just want to make that a tasting menu right again we are calling it flights now we need to update that but its a tasting menu. 10:08 Umm so you just switch that on and now these three wines will appear in the app as a product list umm so yeah very simple to do umm same thing if you wanted this to be a filter on the your e-commerce store so you've got umm don't know if I've got an example to show you let's just do the do my dummy area 10:45 going to this section here this is a featured list these are featured ones so over here ive got my custom filters over here that I want to appear so I can actually have umm I can say I want this to also be ecommerce filter umm so if I hit save on this and then I refresh over here you'll see that that 11:10 list there it is custom filters. List 3 will now appear as a filter on your ecommerce so it doesnt have to be set and forget right you can say if you have a function umm lets say youre doing umm good food and wine show you can put in a list called good food and wine show and you want that to be a post 11:30 category for you to use at the good food and wine show but you also want it to be a tasting menu for people who rock up to your booth at the good food and wine show who have the app installed but you also want it to be an e-commerce filter on your website so people who umm so people who visit your website 11:50 after the good food and wine show can go in and see the four wines that you took with you to the good food and wine show. 11:57 This is all about just making it easier for I I'll call out while we're talking about product lists is that if you've got if you've got a list of wines on your bar or you know that you present in the cellar door and you've got you know you start with this sparkling one two three whites one two three 12:36 and reds one two three i would suggest that you create product lists you know sparklings, whites, reds and you order those products within those lists in the same order that they appear on the list that you're presenting in the sell it all that way because when customers are reading off the list and 13:01 they'll say alright well i'll get one of those two of those one of those Yes. Umm those the lists in your point of sale are in the same order as the list that the customers looking at right so it just makes life easier and quicker for you umm you dont obviously you dont have to create a sparkling list 13:19 and a white list and a red list you can just have one list called umm tasting list you know which is the one that is on the bar and just put the twelve products in the same order that they are appearing on the piece of paper umm that you are presenting in the bar umm or of course you can do without the 13:37 piece of paper and use our kiosk app umm so that you are digitalizing that anyway umm so that is just a little bit about tasting lists and product lists and ordering them yeah something else that came up during the week umm which I thought I'd go into a little bit of detail on was more on the recurring 14:02 order clubs so we've got a lot of people using these umm types this style of club now which is great umm and weve had some questions around umm these warnings down here so for example double charge umm and and if you go in and youll see it will come up here and youll see a button saying retry charge 14:34 umm so couple of things to mention so lets say we go into this double charge warning ill show you why that is showing up so the double charge warning sorry about this you know we do a lot of this is a lot of umm a lot of testing obviously umm so the club that we were talking about so I'll just go back 14:57 we were talking about the umm a recurring club so that double charge warning is coming up because umm there is a year here so this customer if we go into that club settings they've got four times a year right so and we can see here that it was meant to charge on the 20th of October and then the next 15:37 one is on the first oh sorry I was the 20th of January. You can see down here that the 20th of October charge didn't go through right and the reason why it's giving you that double charge warning is because umm you can retry the charge it's saying it did go through because its the insufficient stock 16:02 of this product umm now if I fix that error and then go retry charge it will retry the charge on the 20th of October oh sorry it will retry the charge and it will go right that 20th of October 1 I've done that umm but its the 16th of January today so we're 4 days away from the 20th of umm the 20th of 16:28 January processing as well so that's why its giving you a double charge warning basically saying if you charge them now theres another order scheduled within a short time frame so the customer might see their statement and go hey theyve charged me twice umm which isnt an accident its charging twice because 16:47 its to say well hang on you still owe us for the order in october umm so youre charging that but then youre if youre sticking to the same schedule theres going to be the risk of a double charge so what you can do here is actually go into that club settings and you can charge them twice obviously but 17:03 youll need to explain it to the customer or uhh you can go into the settings here change schedules and charge states and so this is where youd say alright well umm im going to let the the uhh you might say im going to let this last order slide umm now if you wanted to let that slide you just change this 17:24 schedule from 2023 to 2024 right so basically saying i dont care about the october 23 charge anymore so umm im happy for that to happy to let that slide and the next charge that will go through is the 20th of january right you hit save thats the end of the problem and that double charge warning will 17:46 go away umm if you do want to charge them for the october one you can actually umm you can leave that as the 23 and you can change their schedules all together if you wanted to umm so you'd say alright well umm you know i'll charge them for the the 10-23 but for the first for the January order im gonna 18:14 change that to 20-25 alright umm so im not sure if im explaining that well or not but umm basically if i save this it will go alright well im gonna charge them for the 20 October order umm from last year umm because thats in the past so its just gonna retry the charge umm but then there is no scheduled 18:37 order for January 24. The next one is gonna be in April umm so you can change these dates how you want obviously you need to stick within the schedules that you have set but you can move them forward a year so if you want them to skip January this year you can just change that to January next year and 18:55 thats it. Umm so something else on here to show is umm sometimes here you'll get the umm its gonna show me a thousand lists a thousand one ones again so lets say for example umm youve got this retry charge button now uhh this customie here carol brown umm you might have lets say for example you uhh want 19:29 to let this one slide it was your fault that they didnt get the pack because you ran out of stock umm so what you can do is say umm im going to let that last order slide so what ill do is ill go into change schedules and charge dates umm so this is you know so were going back in so and i can say alright 19:51 well october last year im going to let that slide im going to make it october this year umm so their next order is going to be umm is going to be in a couple of days january umm so then if i hit save on that oh hang on what have i done oh here theres another one going even further back it's so okay so 20:24 now what that's done is it has it's readjusted all the you do want to hit it but it's to be fair the words are a little bit misleading you're not retrying the charge the retry charge button is really is really just saying restart the schedule so retry the charge restart the schedule umm so when i hit 21:13 the retry charge button its going is there its going to restart the schedule and when it does that its going into the schedules and say are there any orders in the past that havent been charged yet if the answer is no then the schedules switch back on and it will just keep going on its schedule umm but 21:34 if i hit that retry charge button and there is an order with a historical charge date set thats when it will retry the charge umm so we put that button in and called it retry charge because umm originally it was just to manage those umm if a payment failed or or something you know if you're on top of 21:58 this sort of within a day or two of umm of uhh the charge not going through but then we added the ability for wineries to set schedules so this kind of gets you know really set and forget and you know where a thousand customers might be on twenty different schedules umm and so basically umm that retry 22:23 charge button umm its purpose changed a little bit to rather than retry the charge that was meant to go through three days ago it's turned into a get them back in the schedule so just when you're seeing that retry charge button umm just actually look at it as I put them you know restart the schedule 22:43 umm option you know some other stuff in here I don't know if I've got an example but you've got youll have these insufficient stock warnings as well umm so if I select this person for example and I go into replace bottles I'll be able to see umm I'll be able to see uhh what products theyve got in their 23:15 selection although this might be umm this might be a insufficient stock product ah I carry product in red I can obviously I can go in here I can add more stock of the product in red or umm I can go in and edit their club and say alright well I know I dont have any of the number 10 red I'm going to change 23:40 it to umm yeah I'm gonna change it from umm where is it ah so number 10 red Ive actually removed that from sale so thats why it was failing so I can say alright well theyve selected the number 10 red I dont have it anymore umm so Im going to uhh Im going to add this instead umm you know something theyll 24:05 say about that is weve had a couple of people umm when they come out with a new vintage umm you want to use the new vintage function within and wait for it. 24:16 And you dont want to be deleting old products because what happens is that umm someone selecting product A and then you delete product A but their recurring order is still set up for product A so umm what you want to do is just make product A not available anymore but you want to go I want to create 24:40 a new vintage of this product umm and then say right its the 2023 vintage continue it will then clone all the data from the previous vintage and you make that product available for sale and you swap those recurring orders out right so umm you don't want to go deleting products because that recurring 25:02 order is still going to say well hang on theyve selected this product over here umm and they need to be able to unselect it or whatever so main moral of the story dont go deleting products umm just thinking if theres anything else on that screen to cover while i was at it i think there was and that was 25:27 the main stuff that came up this week umm so thats probably just a bit of a short one umm but yeah i hope you guys are finding these videos helpful certainly the feedback sounds like you are so thank you for that umm and obviously any questions feel free to reach out to us and we will get back to you 25:47 thank you very much
